Last week I discussed the importance of preparing for the implementation of a new system. The Implementation Plan will help lay the foundation for the transition and ensure your team is on board and ready. But what do you do once that new system or procedure is ready to go? How do you roll it out to your team efficiently? Here are a few key steps to help ensure success: Create a checklist of items to learn, with timelines To ensure a systematic approach, create a checklist of items that employees need to learn and break them down into manageable modules or topics. Assign timelines for each. Separate company training from role-specific training By separating these two aspects, you can provide a well-rounded training experience, and group company training time together. Identify goals and skills or knowledge to be acquired Identifying the specific goals and knowledge that employees need to acquire through the training program will ensure your training addresses the specific needs of your employees and allows them to mentally prepare for what they will be learning and what is expected of them. Provide training content Structure your training by using instructional tactics such as Preparation, Presentation, Practice, and Performance. Develop content that provides the required knowledge such as written procedures, videos, and time for one-on-one or group practice and questions. Measure success Once the new system is implemented, it is essential to measure its success. Evaluate the effectiveness of the training by gathering feedback from participants, assessing their performance, and tracking key metrics. Use this data to identify areas of improvement and make necessary adjustments to the training program. Communicate Clear and consistent communication is essential to rolling out any new system, procedure, or software. To support this, I suggest sending out a weekly email or training video that includes additional tips and shortcuts for the new system and encourages your employees to provide feedback and anything new they have learned that could help others. This allows you to provide bite-sized information that can be applied immediately without the overwhelm that can come from transition and change. Change within an organization can be met with resistance, but with a proper plan, you can help your team embrace the new system and see it as an opportunity for growth and improvement.
