When everything feels urgent, it's easy to fall into the trap of tackling tasks as they come, without taking the time to determine which ones truly matter. The feeling of urgency can cloud judgment and lead to inefficient task management. The reality is, you don't have time not to prioritize. The methods below are quick yet effective tools to help you identify which urgent tasks you should tackle first.

Quick Tips for Managing Priorities

There are countless strategies for managing tasks and priorities, but these two techniques are specifically designed to help you navigate those urgent tasks that pop up unexpectedly and keep you running in 'firefighting mode'. These methods will help you quickly assess what truly needs your attention and regain control of your day.

  • Comparison Approach: This method involves comparing two tasks at a time and deciding which one is more critical. Mark the task that "wins" the comparison. As you continue, making sure each task is compared against all others, you'll find that the tasks with the most checkmarks are those requiring immediate attention. It's a quick, simple, yet powerful tool for ensuring your efforts are aligned with your business objectives and can be effective when you feel you "don't have time to prioritize."
  • The Prioritizing Matrix: Organize your tasks into five simple categories:
    • Tasks that can be done in 20 minutes
    • Tasks that can be done today
    • Tasks that can be done this week
    • Tasks that can be done as time permits
    As you process items on your 'urgent/priority' list, you may find that some tasks aren't as urgent as they initially seemed. This clarity helps you decide which items to tackle now, which can wait, and which can be handed off.
